Administration

     The facilities management administrative office consists of a director, 2 associate directors, 2 assistant directors, office manager, budget analyst and administrative assistant.  We are considered the communications hub for facilities management, handling thousands and thousands of calls per year and receiving electronic mail messages.  Please call our office at 458-8490 at any time to report an emergency condition or other problem that requires immediate attention.  We are available for these requests 24 hours a day, 7 days a week.

     During our regular business hours (weekdays 8:00 a.m. to 4:30 p.m.) we welcome your request for service and general inquires (i.e., work order scheduling, status and billing).  You are encouraged to use our online on-line work order request form.

Automotive Shop

     The automotive shop performs most repairs on University vehicles, preventative maintenance, and state inspections for university vehicles.  They also maintain the athletic and gym equipment, exercise machines in the dorms and the electrical generators on campus.

Carpentry Shop

     The carpenter shop is primarily responsible for building and repairing walls, ceilings, cabinets, stairs, floors, trim, and some furniture.  Installing paneling, sheet rock, floors, sound boarding, shower doors, mirrors, insulation, siding, windows, bookshelves, doors and hardware, fences, sidewalk replacement, handicap ramps and more.   The carpenter shop also installs and performs preventative maintenance and repairs on roofs, install and maintain gutters and down spouts, hang banners on buildings, assemble staging set-ups and set-up tents.

Custodial Services

     Custodial services is responsible for the general cleaning of dormitories, fraternities, sororities,  academic and administrative buildings on campus. Staff are routinely responsible for general cleaning on a daily basis, changing light bulbs and fluorescent tubes, washing windows, reporting building and equipment repairs as noticed while performing duties, snow removal at building entrances, providing entrance mats and runners where needed, pest control inside buildings and facilities.

Electric Shop

     The electric shop performs emergency and routine work on electrical panels, switches, receptacles, light fixtures, electric heat, electric motors, campus street lights and outdoor building lightning.  In addition, they offer the following special services:  public address system for special functions and temporary power and lighting for special events on campus.

Grounds Services

     The Grounds shop is responsible for a wide range of services including the maintenance of the grounds, recycling and solid waste (see below) and moving services as well as helping with special events set ups.  Grounds maintenance includes mowing, leaf collection, mulching, weed control, snow removal, pruning, planting and litter collection.  Moving services include moving offices, equipment and other items.  To schedule moving services, please contact the Facilities Management office.  Ample notice is necessary in order to schedule for customer needs. There is a labor charge for moving services.

      The Grounds Department is proud to maintain two Restored Historic Gardens of Virginia that were designed and installed through the generosity of The Garden Club of Virginia.  The first project undertaken was the landscaping around the Lee Chapel.  Charles F. Gillette designed the foundation plantings and a double row of boxwood plants surrounding the Memorial (Visitor) parking lot in 1934-35.  The semi-circular entrance court and plantings in front of the Chapel, designed by Ralph E. Griswold, were added in 1977.  A third garden at Lee Chapel is the landscaping around the grave of Traveler:  General Lee’s beloved horse. This garden, designed by William T. Borellis, was a gift of the 1995 W & L Alumni Board of Directors and the Virginia Division of the United Daughters of the Confederacy.  As part of that project, the Memorial parking lot was reconfigured and one of the rows of boxwood plants was removed.  The second Garden Club of Virginia site is the public garden around the Lee House where the president of the University resides.  This 19th century garden was designed by Rudy J. Favretti and was installed in 1994.

Heating/Cooling Plant

      In a typical year, the central heating/cooling plant generates between 219,000,000 to 341,640,000 pounds of steam for its customers.  The steam is used for autoclaves (sterilizers), humidifiers, domestic hot water, absorber chiller for air conditioning, and heating services.  The heating/cooling plant operates 24 hours a day, 365 days a year.

     The heating cooling plant has three fire tube boilers.  We have two 500 horsepower and one 800 horsepower boilers, and each boiler is capable of generating approximately 30,000 - 45,000 pounds of steam per hour.  The boilers are duel fuel boilers, capable of burning natural gas or No. 2 heating oil (diesel).  For most of the year the boilers burn natural gas.  Our fuel storage capacity is 40,000 gallons.  During January 2001, we used 99,000 gallons of fuel oil.

     The heating/cooling plant responds to the emergencies after regular business hours.  Wind, rain, sleet, or snow, the heating/cooling plant delivers!

HVAC and Plumbing Shop

     The HVAC and plumbing shop is responsible for general upkeep, maintenance and repairs to mechanical systems in the buildings.  The shop will also repair and maintain departmental equipment for a charge, as scheduling permits.  Routine services include:

     Heating and Ventilation - routine and emergency repairs and preventative maintenance on all equipment and systems, including the central heating plant’s high-pressure steam and high-temperature hot water systems.  These include steam, hot water, warm air, and electrical systems for large buildings as well as controls and equipment for offices and rooms.

     Air Conditioning and refrigeration – repairs and maintains air conditioning systems for computer rooms, PBX equipment and buildings; walk-in coolers and freezers, refrigerated water, coolers and air dryers, ice machines, dehumidifiers and humidifiers, heat pumps, chilled water piping and coils, and cooling towers.

     Plumbing shop – installs, repairs and maintains drinking fountains, showers, drain lines, faucets, garbage disposals, toilets, hot and cold water lines, water valves, submersible pumps, sewer injectors, steam machines, water softener units, hot water heaters, dish machines, and hot water circulating pumps.

            Report problems to the Facilities Management office at ext. 8490.

Locksmith Shop

     The lock shop is routinely responsible for lock repairs, changes, and installations; file cabinets and desk lock repairs; locked or broken file cabinets; and battery-operated door alarms.  The lock shop keeps records of buildings and room keys, as well as keys issued to faculty and staff.

     The “Request for Keys” form requires a valid budget number and authorized signature.

Paint Shop

     The paint shop is primarily responsible for priming and painting buildings interiors and exteriors, removing graffiti, and refinishing furniture.

Recycling and Solid Waste

     The grounds shop is responsible for the routine collection of all non –hazardous wastes from the campus.  This service includes pick-up of recyclable materials and solid waste from over 55 locations, collection of bulky waste items, scrap wood and metal, and clean-up around loading docks, providing education and promotional information about recycling and waste reduction and coordination of special collections during student move-in and move-out.

     Additional services provided by request include:  pick-up and shredding of confidential materials and paper; and collection and disposal of appliances, refrigerators, equipment or unusually large amounts of waste.  There is a charge associated with this special service.

Set-ups

     This service requires an account number and a detailed information faxed to 458-8952 a week or so prior to event.  Scheduling of equipment (i.e., tents, tables and chairs), is on a first come, first serve basis.  Be sure to provide name, address and telephone number and detailed information as to services you wish provided, lay out of all set ups and when we can tear them down.  Please call ext. 8490 for any additional questions.

Upholstery Services

     If you have furniture that needs re-upholstering, we can arrange to have this services done by an outside contractor.  You can make this request through the on-line work order system or by calling our office at x 8490.  Please note that this service generally requires an account number to be charged for these services.

Disposal of Hazardous Materials

      For information about disposal of hazardous materials such as paints, chemicals and batteries, contact Paul Burns, the Director of Environmental Health and Safety, at ext. 8175.

 

     Facilities Management receives and processes emergency and routine work and maintenance requests 24 hours/day.  These are prioritized and dispatched by us to the appropriate staff within our department.  Emergency requests affecting life, health and safety will be dispatched immediately.  In non –emergency or routine repair situations, work requests are forwarded to the appropriate staff for scheduling.  Faculty and staff can report building mechanical, security and fire alarms and noises to the Facilities Management office at ext. 8490 or by completing the on-line work order request form.

Requesting Routine or non-Emergency work

     For routine or non-emergency requests, a work order must be initiated.  Customers may do this by using our on-line work request form.  Customers should provide the following information:  specific detail of the repair or concern, exact location including building name and room number, contact person name, address, phone and email and a budget number.   If requested, Facilities Management can provide an estimate on the cost of a project (i.e., building bookshelves, installing an outlet).  For an estimate, initiate a work order request, and indicate “for estimate only.”
